Accessible Information Management (AIM) is an online accommodations management portal that helps students request and coordinate their accommodations with instructors.
AIM provides a collection of tools to help you quickly review a list of accommodations requested by students in your courses. If you choose to use the Testing Center to administer your accommodated exams, AIM also provides options to manage a testing agreement to outline when and how exams are to be administered, as well as options to upload exam files and download completed exams when students are finished.
In the AIM Instructor Portal, you can:
- View a list of students who have requested accommodations in your courses.
- Review Faculty Notification Letters (Accommodation Letters) in a centralized location.
- Complete Testing Agreements that outline the details for all exams in your class (and copy Testing Agreements to multiple sections of the course, if applicable).
- Review Exam Requests submitted by students in your courses (College Station campus only).
- Upload exams to the AIM Portal for administration (College Station campus only).
- Download completed exams (if desired) (College Station campus only).
The AIM Instructor Portal is accessible using your NetID and password.
Because the system pulls in instructor access based on the published instructor-of-record for each course, it is possible Disability Resources staff may need to manually add an instructor. Please contact our office if you have trouble accessing the AIM Instructor Portal.
Each time you access the AIM Instructor Portal, you will need to acknowledge terms regarding the privacy and security of information shared through the system. It is also important to remember not all student information may be visible unless connected to the university network either on-campus or through a VPN connection.
Please Note: The AIM Instructor Portal refreshes nightly and may have a delay in populating course or student data.
When a student requests accommodations in your course, Disability Resources will use the AIM portal to generate an email outlining the accommodations the student is eligible to receive.
Faculty Notification Letters (Accommodation Letters or FNLs) will be emailed to the instructor from AIM. The email will be addressed from the student’s assigned Access Coordinator (Primary Advisor in AIM) and the student will receive a copy of each email when the notifications are sent. This replaces the process of having students email a PDF copy of the accommodation letters to their instructors.
- The subject line will read: [DR] Student Name – Course Number – Course Title (CRN) – Accommodation Letter
- It will be addressed from: TAMU – Disability Resources <[email protected]> on behalf of Access Coordinator Name
You will also be able to review a copy of all FNLs for your course(s) by accessing the AIM Instructor Portal. From the AIM Instructor Portal Overview dashboard:
- Scroll to the Students Who Requested Accommodations section.
- The first column will allow you to view the FNL for the student.
- The second column will generate a PDF copy of the FNL in the event you would like to download and save a copy for your records.
- You can use linked column headers to sort by the values in their respective column.
- Use the advanced search features to filter the results table to customize your search.
- You can also click the button to expand the table legend to explain abbreviated column headers.
In the Students Who Have Requested Accommodations section, you can use the Refine Search toggle to access advanced search filters to narrow and customize the data shown in the accommodation requests table. To do this:
- Click the Refine Search disclosure.
- Enter values and/or Boolean operators to tailor your results based on student name, course information or specific accommodation types.
- Click the Search button to update the results table.
You can download a report of students and their accommodations as an Excel spreadsheet by using the Export Data action on the Overview dashboard in your AIM Instructor Portal.
When choosing Export Data, AIM will use the information displayed in the results table. This means you can use AIM’s advanced search tools to filter the data you want and download a report based on only these results.
When exporting a customized report, specify your search criteria, click the Search button and then expand the Export Data disclosure to download your report.
By default, the course instructor-of-record is the only instructor given permission to access student accommodation information in a course. You may have a TA/GA, lab instructor or other individuals helping coordinate your course who may need access to this information and they can be manually added.
To add an additional instructor, do the following:
- Access your AIM Instructor Portal.
- Click Add Instructor in the menu on the left-hand side.
- Complete the form with details on the individual you intend to add as an instructor.
It will take up to 24 hours for the newly-added instructor to have access to the course in their Instructor Portal.
The Alternative Testing dashboard offers tools to help instructors work with the Testing Center to administer accommodated exams.
Instructors must specify an Exam Management Method to indicate whether they plan on using the Testing Center, they will proctor their own acccommodated exams or that there are no exams in their course. If using the Testing Center to administer exams, instructors must complete a testing agreement before we can administer any exams for their courses.

Q: If I do not have exams in my course or will not be using the Testing Center, do I still need to access the AIM Instructor Portal?
A: Yes, the AIM Instructor Portal is a valuable resource to any instructor whose students have accommodations – even if they will not be giving exams with the Testing Center. The portal gives you at-a-glance information about students with accommodations, the accommodations they have requested and the Access Coordinator who you can contact if you have questions about how to best support the student or their needs.
