Flex Plan and Disability-Related Absence Notification for Students

Beginning Summer 2025, Disability Resources will use the Flex Plan dashboard in the AIM accommodations portal to support students and instructors with communication, clarity and collaboration involving the Plan for Absences & Missed Deadlines (PAMD) accommodation.

When a student requests their PAMD accommodation, the instructor will be asked to complete a Flex Plan in AIM, which outlines the flexibility possible for absences, short-term assignment deadlines and other classroom activities in their course. Once submitted, the student can view these parameters and reach out to their Access Coordinator with any questions or concerns.

Additionally, when a student needs to use their PAMD accommodation due to a disability-related absence, they should log into their AIM accommodations portal to submit a disability-related absence notification request, which is emailed to the instructor and visible to the student’s assigned Access coordinator for review. Submitting the disability-related absence notification ensures an absence is linked to the student’s disability and approved accommodations, and provides details on the student’s need in case additional discussion is necessary.

To view the status of a Flex Plan or the responses provided by your instructor regarding available flexibility for absences, short-term assignment deadlines and other course activities when you experience a disability-related absence:

  1. Log into your AIM accommodations portal.
  2. Click the Flex Plan option in the menu on the left-hand side.
  3. Scroll to the Submitted flex Plan section.
  4. Review the table for courses where you have requested the Plan for Absences & Missed Deadlines accommodation.
  5. If a Flex Plan has been submitted by your instructor, you can click the View link in the left-hand column to review their responses.
  6. Instructors receive several notifications encouraging them to complete the Flex Plan. We also recommend you mention use of Flex Plan when you meet to discuss accommodations with your instructor at the start of the semester.

The disability-related absence notification is a tool to support communication between you and your instructor when attendance, short-term deadline or other course activity is impacted by a disability-related absence. Because your disability-related absence is treated like an excused absence outlined in Student Rule 7, the disability-related absence notification provides documentation supporting your request and is reviewed by your instructor.

Please note: The Communications and Daily/Weekly Assignments section of your Plan for Absences & Missed Deadlines accommodation necessitates that students submit a disability-related absence notification when requesting flexibility on attendance, short-term assignment deadline or other course activity.

To submit a disability-related absence notification:

  1. Log into your AIM accommodations portal.
  2. Click the Flex Plan link in the menu on the left-hand side.
  3. Scroll to the Disability-Related Absence Notification Requests section.
  4. Click the plus symbol to Add Disability-Related Absence Notification Request.

The disability-related absence notification request form has two parts:

  • The first page provides selections for the course, the date you are requesting an excused absence due to a disability-related absence and the accommodation to which your request applies (this is your Plan for Absences & Missed Deadlines accommodation).
  • The second page has questions about the length of time and dates which apply to your disability-related absence (in the event there were multiple days), the specific flexibility you are requesting and timing of the notification as it relates to your disability-related absence.

Please note: If submitting a disability-related absence notification outside of the two-business-day window indicated in your Plan for Absences & Missed Deadlines accommodation, you should email your assigned Access Coordinator with details on the circumstances that made you unable to submit this notification in the specified timeline.

Once submitted, your instructor will receive a notification to review your request. They can Accept or Dispute the request. If your request is disputed, the instructor should provide details about why the request was not accepted. If you have questions or concerns, you can always contact your assigned Access Coordinator.
