Once a student’s accommodation request and supporting documentation has been reviewed by members of the Decision, Review and Consultation (DRC) Committee, the student’s file will be assigned to an Access Coordinator (AC). The AC will contact the student to notify the student that their initial request has been reviewed, to learn more about the student’s needs, and to begin the process of setting up appropriate accommodations.
- If needed, the Access Coordinator will advise the student if any additional information or documentation is requested based on the documentation provided and student’s accommodations request(s).
Appropriate accommodations are determined by the Access Coordinator and student based on the documented needs, previous accommodations, and the functional limitations of the student.
New Student Meeting
Each student will be given the opportunity to complete a New Student Meeting with an Access Coordinator. During the meeting the Access Coordinator and student will review the requests in more detail and develop the accommodation plan. The Access Coordinator will then review Disability Resources policies and procedures for implementing accommodations and provide information about campus resources as appropriate. It is the responsibility of the student to make their needs known and to provide the appropriate documentation to support their requests.
- The New Student Meeting may be optional for some students. Once an application and supporting documentation is reviewed some students may be given the option for an expedited process. The students will be emailed detailed instructions for how to review their approved accommodations and the next steps in the accommodation process without needing to complete a New Student meeting.
Working with Instructors
If classroom or exam accommodations are needed the student is responsible for sharing their accommodations letters (faculty notification letters) developed with the Access Coordinator with their instructors. Students are encouraged to meet with their instructors to discuss their testing and other accommodations and to answer any questions the instructors may have.
In the event the accommodations are not meeting the student’s needs, or the accommodations are not being met by the instructor, it is the student’s responsibility to contact their Access Coordinator to discuss the situation.
Reporting a Concern or Grievance
Procedures for reporting a concern or a grievance related to an accommodation or disability-related issue are detailed on our grievances page and in the Texas A&M University Student Rules.
